A Balanced Backup Solution
There are so many different variables for loss of data that a 3 legged stool backup strategy is what makes sense. You could have a weather catastrophe, regardless if its flood, tornado, hurricane. There is also employee sabotage, theft, and the unforgettable “oops, I deleted a folder”.
Below is my recommendation to avoid most types of catastrophes.
PC to PC – Most likely, your system already has a network. Ask your tech to share a drive on a different department’s PC, install SecondCopy, and synchronize the files from your server to that PC. This can act as a “Secondary Server” if you map that department’s PC with a drive letter on the other PCs.
Cloud – I use Dropbox, because I want to offer my clients what works and what has proven to be efficient, trustworthy & secure. Dropbox has never failed me. The worst thing that ever happened is that once I had a conflicting file, so it created 2 versions. Each version was date and time stamped so that I could determine which file I needed. The technological friendliness in Apple & Android is fantastic. This solution also simplifies record keeping. For instance, you can take a picture of any receipt or document and upload it directly to the server.
USB – Many people use a USB drive as a backup. Unfortunately, USB drives tend to crash more than internal drives. Additionally, some USB drives use proprietary formatting schemes. Regardless, they can be used as your “offsite backup drive.” When a hurricane is coming, you can always stick your drive in your pocket and leave with it. On a windows system, this can be achieved by using SecondCopy to sync your files from your server to the USB drive. SecondCopy copies native files rather than proprietary formatting schemes.
